See how we built an internal CRM for automated housing queue monitoring across multiple housing platforms. The system runs daily searches, captures offers and viewing invitations, and generates monthly reports without manual duplicate work.
A client approached us with a clear operational challenge: the business was growing, but the internal processes were not keeping up.
Each client could be active in several housing queues at the same time. As a result, staff had to log in manually to different platforms, check for new listings, follow up on offers and viewings, and then compile the information into reports.
As the number of clients and platforms grew, maintaining the same level of quality became increasingly difficult. Missing a single login, new offer, or status change could cause important information to slip through the cracks.
Therefore, the problem was not only about time consumption. It was also about control, traceability, and the ability to scale the business without building an ever-larger administrative team.
nstead of continuing with separate routines, we built a system that brings the entire process together in one cohesive workflow.
As a result, the internal CRM gives the team one place to manage customer profiles, connect customers to relevant housing queues, run automated searches, track platform status, and collect matches, offers, and viewing invitations.
The system supports searches across more than ten housing platforms and runs daily on a fixed schedule. Whenever new results appear, the system saves them automatically. It also captures offers and viewing invitations that would otherwise require manual follow-up.
In addition, we built operational features such as run history, troubleshooting for failed jobs, process restarts, and automatic monthly report generation.
This approach moved the work from fragmented manual tasks to a repeatable system where the team can track every step.
Checking one or two platforms manually is manageable. However, doing the same thing for many clients across multiple housing queues every day creates a much larger operational challenge.
Each platform has its own login process, structure, and rules. For that reason, the workflow must not only collect information but also organize it correctly for each individual client.
That is where many manual setups begin to break down.
Information can end up spread across different documents. Meanwhile, follow-up takes place in several systems, and reporting depends on someone having enough time to compile everything correctly each month.
Over time, the bottleneck becomes less about the search itself and more about the administration surrounding it.
For the client, this created a difficult choice: continue growing with a manual process that was becoming increasingly vulnerable, or build a system that could support the business over the long term.
We did not just build a single automation. We built a complete operational workspace for the business.
The system brings together the parts that were previously scattered:
The goal was not to create another tool for manual checking. Instead, we designed the workflow to reduce the need for manual checking altogether.
When the system detects new listings, it stores them in a structured format. Likewise, offers and viewing invitations enter the same workflow as soon as a platform makes them available.
By the time reporting is due, the relevant data is already collected and organized.
This makes the process more predictable, less dependent on individual employees, and significantly easier to scale.
Once the workflow was in place, the team’s way of working changed fundamentally.
Instead of jumping between platforms, logging in manually, and compiling information afterward, the team could work from one unified overview. As a result, they gained better control over completed searches, new customer matches, and platforms that required follow-up.
At the same time, the administrative workload decreased. Tasks that previously required recurring manual effort every day and every month could now run automatically or require far fewer manual steps.
For the client, this meant more than time savings. It also created a more stable operation, better traceability, and a stronger platform for continued growth.
The need typically arises when a business handles many recurring tasks that follow the same logic, but employees still perform those tasks manually.
In this case, the workflow covered customer administration, platform logins, daily searches, status follow-up, and recurring reporting. However, the same principle applies to many other businesses where teams need to collect, structure, and monitor information continuously.
The important thing is rarely to automate a single click. Instead, the real value comes from redesigning the entire process so that data, follow-up, and reporting work together from the start.
As a result, businesses can reduce both the time required and the risk of missed information.
We help companies build systems where manual work is replaced by structured, repeatable workflows. This can involve housing monitoring, customer management, reporting, or other processes that take too much time and become difficult to scale.
